Account invitations

How a client account invites someone, and how that person accepts or declines.

Overview

A client account can invite someone to join as an Admin or a Standard member. The invite is tied to an email address. That person has to accept before they become a member. Until then, they are pending and do not have access to the account.

Invites are available on client accounts only. A freelancer or agency account does not add team members this way. Account roles are described on the Account user roles page.

Sending an invitation

A Super Admin or Admin opens Manage team from the account menu, or goes to Settings → Team, and invites someone by email. They choose Admin or Standard. Super Admin cannot be assigned. That role stays with the account owner.

  • The account needs an open seat. Members and pending invites both use a seat.
  • Each email can have only one pending invite for that account.
  • The invited person receives an email with a link to join.
  • If they already have a Lancer login, they also get an in-app notification.

Before the invite is accepted, an Admin or Super Admin can change its role or cancel it. Canceling closes the invite, so the link no longer works.

Accepting when you are new to Lancer

Open the link in the invitation email. It takes you to a page titled Join an existing account, showing the account name. Enter your name and a password, and accept the terms. The email address is already filled in and cannot be changed.

  1. Create your login from the invitation link
  2. Lancer accepts the invitation for that email
  3. You join the account with the role you were invited as
  4. You land on that account’s dashboard
Joining this way does not create a separate freelancer or client account. You become a member of the account that invited you.

Accepting when you already have a login

If that email already has a Lancer login, the invitation link tells you an account already exists and asks you to sign in. Sign in with the same email the invite was sent to. Only that email can accept or decline it.

  • If you do not belong to any account yet, sign-in opens your pending invitations. Accept or decline each one there.
  • If you already belong to an account, sign-in opens your dashboard. Accept from Manage accounts, from your profile’s Pending invitations section, or from the notification, which opens Manage accounts.
  • Accepting switches you into the account you just joined and opens its dashboard.
  • Accepting from your profile adds the account and leaves you on the profile page.

You can turn off the account-invitation email in Settings → Communication preferences. The invitation itself still exists, and an in-app notification is still created when you already have a login.

What happens when you accept

  • You become a member with the invited role, Admin or Standard
  • The invitation is closed and cannot be used again
  • The account owner is notified that you accepted
  • You can switch to that account from the account menu

Your access matches the role on the invite. Admins can manage the team and the account’s work. Standard members work on the projects they belong to. Those privileges are listed on the Account user roles page.

Declining or skipping

Decline closes the invitation. You do not join the account, and the owner is notified. A declined invitation cannot be accepted later. The account would need to send a new one.

  • If you have no Lancer account and you decline, you are taken to create your own account
  • If you already have an account and no invitations are left, you return to your dashboard
  • If other invitations are still waiting, you stay on the invitations page
  • If you are not ready to decide and you have no account yet, choose Skip to create account
  • If you already have an account, choose Skip to tasks and decide later

When an invitation will not open

The link works only while the invitation is still pending. It stops working after you accept, you decline, or an admin cancels it. Signing in with a different email also cannot accept it.

Use the link from the invitation email, and sign in with the address it was sent to. If the page says the invitation is no longer valid, ask an admin of that account to send a new one.
