Creating a project

How to create a project, who is added automatically, and how a hired job brings people and a rate onto it.

Who can create a project

Open Projects and choose Create project. A Super Admin or an Admin can always create one. On a client account, Standard members can too, unless an admin turns off Allow standard users to create projects. That setting is on unless someone turns it off.

What each person can do after they are on the project is described on the Project user roles page.

What you fill in

Create project asks for a few details, then Publish opens the project.

FieldWhat to enter
NameRequired. This is the project name people see.
Due dateOptional.
Task statusesStarts as Backlog, In Progress, and Completed. Add or remove statuses before you publish.
ClientShown on a freelancer or agency account. Optional. Choose No client, or pick a client. If that client has a default hourly rate, it is shown here.

Intakes are on when the project is created, and viewers can submit them. A manager can change that later. How intakes work is described on the Creating intakes page. The client you pick is the billing record described on the Clients page. How tasks and milestones use the project’s statuses is described on the Tasks and milestones page.

Who is on it at the start

You do not pick the team in the create form. Lancer adds people when the project is published, and you can invite more afterward.

  • You are a Manager.
  • Every Super Admin and Admin on the account that owns the project is added as a Manager.
  • If the client you chose already has a Lancer login that matches their email, they are added as a Member and notified.
  • More people are added later from Manage team, or when a hired job is linked to the project.

An invitation from Manage team stays pending until that person accepts it on their Projects page.

Link a hired job

A project is where the hired work lives. While posting a job you can leave it unattached, link an existing project, or create a project when you hire. Those choices are on the Posting a job page. The link takes effect when the hire is confirmed.

  • Create a new project on hire uses the name you planned, or the job title if you left the name blank. It is created on the client account with Backlog, In Progress, and Completed.
  • The client’s admins, and admins on the hired freelancer or agency account, are Managers on that new project. The person who applied is included. If they are not already an admin, they are a Member.
  • Link to an existing project adds the hired person to that project when the hire is confirmed.
  • For an hourly job, the rate from the accepted proposal is what they use when they log time on the linked project.
  • After the hire, Link a project on the job can attach more projects. Hired people are added to each one. The job has to be hired before an extra project can be linked.
Unlink this project removes the link only. The project stays, and hired people stay on it until someone removes them.
