Logging time

How to record worklogs, when time can be marked billable, and who can see each entry.

Where time is logged

Open Worklogs and choose Create worklog. The same list is also available from a project. A worklog is one dated entry: what you did, how long it took, and whether it should be billed.

Managers and Members can create and edit worklogs on a project. Viewers cannot. What those roles can change is described on the Project user roles page.

What you enter

FieldWhat to enter
ProjectOptional. Leave it unset for time that is not tied to a project.
JobShown when the project has linked jobs. Leave Auto-detect to use the job on your project membership. Billable hours use that job’s hire rate.
CustomerOptional.
TaskOptional. Available after you choose a project.
DateRequired. It cannot be a future date.
DescriptionRequired. What you worked on.
HoursRequired, and greater than zero.
BillableChecked when this time should be invoiced.

Billable and not billable

Billable time needs an hourly rate to charge against. That rate comes from the accepted hourly job linked to the project, or from a client hourly rate when the person was added without a job.

  • An hourly job uses the rate from the accepted proposal when that person logs billable time.
  • A fixed-price job cannot take billable hours. Log that time as non-billable. The project fee is invoiced separately.
  • A closed job can still receive time, but that time cannot be marked billable.
  • If Billable is unavailable, the form explains why.

Billable worklogs in a date range can be pulled onto an invoice. How that invoice is sent is described on the Invoices page.

Who sees the entries

A Super Admin or Admin sees worklogs on projects the account is associated with. Everyone else sees the time they logged on projects they belong to.

Edit and delete stay on the account that owns the entry. You can change the description, hours, date, project, task, and billable flag after it is saved.
