Creating intakes

How to submit a feature request on a project so a manager can review it before it becomes work.

Overview

An intake is a feature request on a project. It stays a request until a project manager reviews it. After it is approved, a manager can turn it into a task or a milestone. Intakes are on for every project unless a manager turns them off.

Who can submit an intake depends on the project role. Managers and Members can always submit one while intakes are on. Viewers can submit one unless a Manager turns that off. Those roles are described on the Project user roles page.

Open Intakes

  1. Open the project
  2. Choose Intakes in the project menu
  3. Click Create intake

Intakes only appears in the menu while the feature is on. If you do not see it, a manager has turned intakes off for that project.

Fill in the request

The title is required. Everything else is optional. The form starts assigned to a project manager when one is available.

FieldWhat to enter
TitleA short name for the request. Required.
DescriptionWhat you want and why. You can format the text.
Assigned toA project manager. Members and viewers cannot be assigned.
PriorityHigh, medium, low, or none.
Due dateWhen you need a decision, if you have one.
AttachmentsImages, PDFs, spreadsheets, or text files, up to 25 MB each.

Click Submit intake. The request is saved as Pending and shows up in the Intakes list, with who created it.

After you submit

Open the intake from the list to see its details and comments. While it is still Pending, the person who created it can edit or delete it. A manager can change it at any time.

A manager moves the intake through these statuses:

  • Pending — submitted and waiting
  • In review — a manager is looking at it
  • Approved — accepted, and ready to become a task or milestone
  • Rejected — not accepted
  • Completed — the requested work is done

When you create a task or a milestone, you can link an approved intake so the new work stays tied to the original request. How to do that is described on the Tasks and milestones page.

Turn intakes on or off

A project manager changes this from the project’s details page. Two switches control it.

  • Allow intakes — when this is off, nobody can create intakes and the Intakes menu item is hidden
  • Allow viewers to create intakes — when this is off, viewers can still read intakes but cannot submit new ones

Both switches are on until a manager changes them. Turning intakes off does not delete requests that were already submitted.
