Tasks and milestones

How to create tasks and milestones, how they show up on a project, and how to link an approved intake.

Where to find them

A task is a piece of work on a project. A milestone groups related tasks, such as a phase or a release, and can carry its own dates and estimated hours.

  • Inside a project, Task table lists every task. Show only my tasks and Hide completed tasks narrow that list. Kanban board shows the same tasks in columns, one column per task status.
  • Milestones is its own page on the project. Each milestone shows how many tasks are attached and whether it is completed.
  • The account Tasks page lists work across projects. A Super Admin or Admin sees tasks on every project the account is associated with, split into Overdue and Pending. Everyone else sees tasks assigned to them.

Create a task

Managers and Members use Create task. Viewers can read tasks, but they cannot create them, edit them, or be assigned one.

FieldWhat to enter
NameRequired.
StatusRequired. One of the project’s task statuses. A new project starts with Backlog, In Progress, and Completed, and the task starts on the first status.
PriorityNone, High, Medium, or Low.
TagsOptional, up to 10. The choices come from tags set in Project details.
MilestoneOptional. Attach the task to a milestone, or leave it as None.
IntakeOptional. Only approved intakes are listed. Shown when intakes are on.
Start date and due dateBoth optional.
Assigned toOptional. A Manager or a Member. A Viewer cannot be assigned.
Estimated hoursOptional.
DescriptionOptional.
SubtasksOptional smaller steps. Each one can be checked off.
FilesOptional. Images, PDF, Word, Excel, text, or CSV, up to 25 MB each.

On the Kanban board, dragging a card moves it to that status. Managers and Members can also add a column, which adds a task status for the project. Deleting a column does not delete its tasks. They move to another status, and the project keeps at least one status.

Create a milestone

Only a Manager can create or edit a milestone. Open Milestones and choose Create milestone.

FieldWhat to enter
TitleRequired.
DescriptionOptional.
IntakeOptional. Only approved intakes are listed.
Start date and end dateBoth optional.
Estimated hoursOptional.

Open the milestone to mark it Completed. Tasks linked to it stay listed on that page.

Link an approved intake

The Intake field on a task or milestone lists approved intakes only. The placeholder is None (approved only). Linking keeps the new work tied to the original request. It does not change the intake’s status. A manager still moves that intake to Completed when the requested work is done.

How to submit an intake, and what Pending, In review, Approved, Rejected, and Completed mean, is described on the Creating intakes page. Who can create tasks and milestones is also summarized on the Project user roles page.
